1. Introduction

The Waterproofing Pros LLC (“we,” “us”) respects your privacy. This policy explains what information we collect, how we use it, and the choices you have. It applies to the WPP Portal at portal.thewaterproofingpros.com (the “Service”).

2. Information We Collect

  • Account information — name, email, phone, and role provided when an account is created.
  • Customer information — names, contact details, addresses, and notes you record about customers in the course of using the Service.
  • Contract data — contract terms, signatures, dates, and any files (PDFs, drawings, photos) you or your customers upload.
  • Payment information — processed by Stripe. We receive only transaction identifiers, amounts, and status; we do not store card numbers or bank account details.
  • Communications — emails sent through the Service are logged for delivery status, opens, and clicks so users can see whether a customer received and engaged with a message.
  • Usage and device data — IP address, browser type, pages visited, and standard server logs.

3. How We Use Information

  • To provide and operate the Service;
  • To process payments and reconcile accounting records;
  • To send contract-related and transactional communications;
  • To improve, secure, and maintain the Service;
  • To comply with legal obligations.

We do not sell personal information to third parties.

4. How We Share Information

We share information only as needed:

  • With service providers who help us operate the Service (see Section 9);
  • With your employer, if you are an employee user of an account belonging to The Waterproofing Pros;
  • When required by law or to respond to lawful requests from public authorities;
  • In connection with a business transfer (e.g. merger or acquisition), in which case the receiving party will be bound by this policy or a successor policy.

5. Data Storage and Security

Account, customer, and contract data are stored in Supabase (PostgreSQL). Files are stored in Supabase Storage. We use industry-standard encryption in transit (TLS) and at rest, and role-based access controls. No system can be guaranteed 100% secure; we cannot promise absolute security but we work to reduce the risk of unauthorized access.

6. Data Retention

  • Account data is retained for the life of the account.
  • Contract data (signed contracts, invoices, payment records) is retained for legal and business-record purposes, even after an account closes.
  • Email tracking logs are retained for a minimum of 90 days.
  • Payment records are retained as required by applicable tax and accounting law.

7. Your Rights

You may:

  • Request a copy of the personal data we hold about you;
  • Correct inaccurate information;
  • Request deletion of your data (subject to legal retention requirements, e.g. for executed contracts and payment records).

8. Cookies and Tracking

We use first-party session cookies to keep you signed in. We do not use third-party advertising cookies. Outbound emails sent from the Service include a 1×1 tracking pixel from Resend, our email provider, so that the sender can see whether the recipient opened the message. Customers may block these pixels using standard email-client settings.

9. Third-Party Services

The Service uses the following providers. Each has its own privacy policy, which we encourage you to review.

  • QuickBooks Online (Intuit Inc.) — accounting integration
  • Stripe, Inc. — payment processing
  • Resend — transactional email delivery
  • Supabase — database and file storage
  • DocuSeal — electronic signature

10. Children's Privacy

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided information through the Service, please contact us and we will delete it.

11. International Users

The Service is operated from the United States. By using the Service from outside the U.S., you consent to the transfer of your information to, and processing in, the United States.

12. Changes to This Policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be highlighted within the Service or communicated by email where appropriate.
